Procedure to follow to become a trainee

              Step 1

14 October 2015 (5th grade students)

6 October 2015 (6th grade students)

Work Experience project presentation (included in the orientation programme) by Mrs Verwilghen

Goal for 5th grade students : have a global view of the project, think about links between chosen subjects at school and future jobs, discover on the school website the work experience information, start thinking of a traineeship for 2016-2017 (or for the highly motivated students for 2015-2016)

Goal for 6th grade students : re-discover the work experience updated information on the school website and get a traineeship in 2015-2016.

Registration to the work experience programme :

Fill in the « registration and parents consent forms Â» document (2 pages) that can be found on « registration Â» school website tab and give it back to Mrs Verwilghen (mailbox available at the T207 door). This administrative task is compulsory as you are still minor. DO NOT send this document by mail.

                     Step 2

   Between October and November 2015

                    Step 3

Between October 2015 and January 2016

Trainee’s application preparation

Write your resume and application letter (that needs to be adapted depending on the organisation/company you are applying to).

Examples exist on « CV templates Â» tab.

CV and application e-mail need to be corrected by Mrs Verwilghen or a member of your family.

Identification of a work experience place

–        Think about a type of internship that looks interesting for you (science, medicine, economics, law, art, IT, marketing,…)

–        Start research on the Web and try to find out companies/organisations that could hire you as a trainee

–        Discuss with your parents and check whether they know someone in their inner circle who would accept a trainee.

–        Take a look at the school database (companies/organisations that previously welcomed students) during Mrs Verwilghen’s allocated hours.

–        Send your application letters and CV and make the appropriate follow-up.

             Step 4

Between October 2015 and May 2016

Filling in the contracts

– As soon as you find a work experience place, come to T207 to fill in the contracts (3 copies). There is no contract template on the website to avoid misunderstandings. Do not forget to bring the following information with you :

·         Company name, address, phone number and industry           sector

·         Name, position and mail address of the person who is           going to sign the contract.

·         Your name, address, class, date of birth, mobile                       number, phone number, mail address

·         Your parents’ names and address(es)

·         Date and schedule of the work experience

·         Name, mail address, mobile and phone number of the           person who is going to coach you on a daily basis.

                Step 5

Between October 2015 and May 2016

Contracts signatures and handover to the relevant persons

–        When your contracts are filled in, they will be signed by the management.

–        Two or three days later, you need to pick up the three copies at Mrs Verwilghen’s classroom (during the little break or during the allocated hours) and have them signed by your parents and the company.

·         The first copy must be given to the company (just after the signature of the contract)

·         The second copy must be given to Mrs Verwilghen BEFORE the work experience (mail box – T207). The original is the only valid contract : no scanned document!

·         The last copy is for yourself.

                Step 6

Between October 2015 and May 2016

                                Step 8

Before 15 September 2016 (or earlier if you had your WEX during October, Christmas, February , Easter, May holidays)

                   Step 7

               During the work experience

Respect of « the behaviour code of the perfect trainee ! Â» :

–        Perfect punctuality : If you use public transportation, make sure that you arrive on time. During school holiday, train/tram/MTR/buses are less frequent and the schedule might change.

–        Appropriate dress code : you are not going to the beach or night club ! Even if temperature rises, wear decent clothes and for the girls, discrete makeup. A tie is not required for trainees.

–        A bit of foresight: some companies or organisations might offer lunch but, most of the time, you must pay yourself for your sandwich. Make sure that you have enough money with you, especially if your work experience place is far away from a cash machine

–        Respect of « savoir-vivre Â» rules : do not raid the biscuits box or the Expresso machine. Wait until someone offers you a soft drink or a snack before helping yourself… Be polite : thank, greet and use appropriate vocabulary…

–        And particularly, be curious, proactive, get interested in the way the company works overall, ask questions, concentrate when you have a rather complex task, discuss with your parents in the evening if you had a problem, create contacts with people around you,… and enjoy this experience so different from school !

Report that needs to be given to Mrs Verwilghen before September, 15th, 2014. This report must consist of :

–        A front page with :

· Your name, class in 2015-2016 and in 2016-2017, mail address, mobile number ;

· Working place : name of the company/organization, address, name of the person responsible for the work experience and his/her mail address

· Dates of the work experience

–        The report itself (2 to 3 A4 pages) with :

· A short summary of the company/organisation : company’s type (multinational, big, average, small or micro company) or organisation (humanitarian,                 educational, medical, political,..), number of people, type of goods or services,…

· A detailed description of the different daily tasks;

· A personal feedback of the experience : what did I learn during this work experience ? Does this traineeship help me to make a better choice for my future (studies and job) ?

This important report will be added to your school file and be precious for university applications.

Delivery of a work experience certificate by the Faculty (a cocktail party will be organised for all trainees). The students who did not submit their work experience report will not receive any certificate.
